Reftab’s Default User Access Roles Explained

Reftab includes 5 pre-made access roles for users. When creating users in Reftab, you must assign them to one of the following roles that govern what the user can and cannot do.

1. Administrator:

  • What they can do: This user has full, unrestricted access. They can create, view, edit and delete everything. They can even delete the entire account including all data and user accounts.

2. Editor:

  • What they can do:
    • Make changes to all locations
    • Make edits to all assets, kits, licenses, accessories and loanees
    • Edit and create new categories and fields
    • Print barcodes and QR-Codes
    • Check all items in and out
    • Create and run reports
    • Automate reports from the reports page
    • Import and Export Data
    • Create loanees
    • Open maintenance work orders
    • Complete maintenance work orders
    • Create, edit and delete preventative maintenance schedules
    • Create, edit and delete maintenance forms
  • What they can not do:
    • Create user accounts
    • Convert loanees to user accounts.
    • Access billing
    • Edit or view SAML and Tenant Settings
    • Edit or view access Roles
    • Edit or view workflow automations
    • Edit or view job scheduler
    • Change or view account-wide settings
    • Cannot create or edit custom fields for kits, loans, loanees, licenses or accessories.
    • Override maintenance work order forms assigned to other users

3. Viewer:

  • What they can do:
    • View asset details
    • Print barcodes and QR-Codes
    • View loan information
    • Add new comments on assets
    • Run reports
    • Download report results
    • Complete maintenance reports that are assigned to them
    • Send overdue email reminders from the loans page
  • What they can not do:
    • Create assets, kits, licenses, users, loanees, accessories
    • Check assets in or out
    • Submit reservations
    • Fulfill reservations
    • View category editor page
    • Create user accounts or loanees
    • Access workflow automations
    • Access job scheduler
    • Access billing
    • Access or view SAML or tenant settings
    • Change or view account-wide settings
    • Cannot create or edit custom fields for kits, loans, loanees, licenses or accessories
    • Override maintenance work order forms assigned to other users

4. Disabled:

  • What they can do: Nothing. User is disabled from logging into Reftab on both desktop and mobile app. If they try to login, they will see an error on screen.

5. Loanee (no login):

  • What they can do: Nothing. User has no login rights to Reftab. These are simple records of people that are borrowers of equipment. Other users can check equipment in and out for them and reserve equipment for them.
