Creating Custom Email Alerts for Assets Requiring Attention

Reftab lets you set up custom emails triggered by specific actions, containing asset details so you know which item needs attention. This guide, for instance, shows how to create an email alert for assets that fail a diagnostic test.

This guide has the following steps:

Configure a Work Order Form

Click “Settings” > “Maintenance Form Designer

Next, click “New Maintenance Form

Next, name the maintenance form “Diagnostic Test” then click “New Task

Name the task, “Run Diagnostic” and set the Task Field Type as “Drop-down List” and set two choices, “Pass” and “Fail“. Click “Save Task” when done.

Next, drag the field to the right side and click “Save Maintenance

Create a Custom Email

Next, click “Settings” > “Email Settings / Logs” > “New Custom Email

Next, you can write any custom text you want, such as “The asset listed below has failed diagnostic“. You can use field replacements that will output details of the asset such as the title of the asset, the category, the barcode ID and more. Click “Save Email” when done.

Tip: To find all available replacement fields click “Show replacement fields” at bottom

Build a Workflow

Next, click “Automated Workflows” > “New Workflow

Next, set a workflow trigger of “Finish Asset Maintenance” and add a condition of “Maintenance Result Of Run Diagnostic equals Fail” and click “Add Action” and select “Send Email Asset failed diagnostic“. You can then select from a list of options for the email recipient or, type in any email address and hit enter on your keyboard.

Click “Save Workflow” when done.

Test the Workflow

Next, visit any asset and click the tab “Asset Maintenance“. Select your maintenance form “Run Diagnostic” and click “Start Maintenance Report

Next, select “Fail” for the task of Run Diagnostic and save and complete the report.

Thats it! Check the email inbox for the email alert.
