Reftab now offers recurring reservations! Recurring reservations allows users to easily set up repeat bookings for assets. Particularly beneficial in scenarios like schools, where rooms or AV equipment need to be reserved for regular use throughout a term.

Required Role Based Permission
By default, administrators and editors will have access to setup recurring reservations. However, if you require other custom access roles to have this ability, you will need to set the “Allow Recurring Reservations” permission to “On“, as shown below:
Creating a Recurring Reservation
To create a recurring reservation, head into your assets page and select an asset with the checkbox option. You can select multiple assets to setup for recurring reservations. From here you will select “Reserve” as usual.
Next you will click the button labeled “Setup Recurring Reservation“
Now we will define the parameters of the recurring reservation in the next window:

Configure Start Hour: Choose the start time for the reservation.

Set Length of Time: Enter the duration of the reservation in hours. This field accepts decimal values for partial hours (e.g., 2.5 hours for 2 hours and 30 minutes).

Set the Frequency: Select how often the reservation should repeat (e.g., weekly). Specify the days of the week and the interval between occurrences.

Set the Date Range: Define the start and end dates for the recurring reservation period.

Confirm Total Reservations: The system will calculate and display the total number of reservations that will be made based on the entered parameters.
- Submit: Confirm the schedule by clicking “Use Recurring Schedule” or choose “Don’t Use Schedule” to cancel.
Review your schedule and when done click “Submit X recurring reservations” to finalize everything.
Congratulations! You’ve successfully created a recurring reservation.
Important Notes
- Recurring reservations are capped at 500 per submission.
- Recurring reservations do not send emails as this would generate an excessive amount of emails to the recipient.
- As of writing this article, each recurring reservation in the system is independent and not connected to others, even if they were created as part of a recurring schedule. In a future update we will investigate linking recurring reservations for easier editing / canceling.
On the reservations page, you can view all eight reservations made by this specific schedule. Each reservation includes the grouped assets selected for the recurring reservation but functions as a distinct and separate entry. (See screenshot below)
