How to: Use Automated Workflows to change Asset Status Labels based on Maintenance Fields

The below example will change the status of an asset if a diagnostic test has failed.

  • Navigate to Settings > Workflow Automation:
    • Login to Reftab, head into settings and select Workflow Automation in the bottom left.
  • Create a New Workflow:
    • Click on the New Workflow button. Name your workflow appropriately, for example this example we will use “Failed Diag Test”.
  • Enable the Workflow:
    • Ensure the workflow is enabled by checking the “Enabled” box.
  • Set the Workflow Trigger:
    • Choose the trigger event for the workflow. In this case, select “Finish Asset Maintenance”.
  • Define Workflow Conditions:
    • Add conditions that must be met for the workflow to execute. For example:
      • When closing a maintenance report on an asset, if the “Maintenance Result Of” field is “Run Diagnostic” and the result equals “Fail”.
  • Add Workflow Actions:
    • Specify the actions that should occur when the conditions are met. For example:
      • Apply the status label “Failed Diagnostic Test”.
  • Save the Workflow:
    • Once all conditions and actions are set, save the workflow to activate it.

Now, with this workflow, any time an asset fails the “Run Diagnostic” field, the automation will apply a status label of “Failed Diagnostic Test”.
