Powering smarter IT asset management for teams worldwide
Reftab vs. Torii: Which is right for your team?
Both Reftab and Torii can help organizations discover applications, understand software usage, manage renewals, and review access.
The biggest difference is what happens beyond SaaS.
Reftab's Advantage
You get core SaaS visibility and management functionality, plus the entire hardware side of IT in the same platform.
Torii's Advantage
You get deeper SaaS-specific execution, especially direct actions, provisioning, application-access policies, contracts, and optimization tooling.
Hardware and Software Belong in the Same System
Hardware and software are both part of the same IT environment. Employees use devices to access applications, while IT is responsible for assigning, securing, maintaining, recovering, and retiring both.
Reftab brings those workflows together. When an employee joins, IT can assign hardware, provision software, allocate licenses, and complete onboarding tasks. When they leave, IT can recover equipment, review application access, reclaim licenses, and verify that offboarding is complete.
One employee. One complete IT record.
Hardware
Devices, asset tags, locations, warranties, purchase data, assignments, audits, and maintenance.
Software
SaaS applications, installed software, licenses, users, usage, spend, renewals, access, and vulnerabilities.
Lifecycle
Onboarding, offboarding, access reviews, requests, approvals, workflows, recovery, and activity history.
Instead of using a SaaS management platform alongside a separate hardware asset management system, Reftab gives IT one place to manage both.

Recognized by industry leaders
Both platforms can identify software waste
See licenses that may no longer be needed
Both Reftab and Torii can combine assigned licenses, usage, inactive users, renewals, and software surveys to help IT determine whether licenses are still needed.
That means IT does not have to rely only on login activity. Teams can also ask users directly whether an application is still required.
The decision can include:
Access + usage + employee feedback + spend + renewal date
Torii's biggest advantage is action inside SaaS apps
This is where Torii is genuinely stronger
One of the biggest advantages we found while testing Torii is its ability to act directly inside supported SaaS applications.
For example, Torii can use conditions such as an unused license, an access request, or an employee offboarding event to trigger a workflow that can:
- Request approval
- Downgrade or remove a license
- Provision or deprovision a user
- Notify the user or manager
- Complete supported actions automatically
This can be very powerful for IT teams managing a high volume of SaaS access and license changes.
The important limitation is that these actions depend on what each connected application's API or SCIM implementation allows. Not every Torii integration supports the same actions.
Reftab can use workflows, notifications, approvals, and tasks to coordinate many of the same processes, but it does not currently make direct provisioning or deprovisioning changes inside third-party SaaS applications.
For organizations that need extensive cross-SaaS automation, this is one of Torii's clearest advantages.
Application requests and access automation
Both Reftab and Torii can provide employees with a catalog of approved software and let users request access to applications.
The difference is what happens after the request is submitted.
Reftab supports granular approval flows. For example, a request can be sent to the employee's manager, then routed to a budget owner or another approver before IT fulfills the request.
Torii can also run approval flows, but for supported applications it can go further by applying application-specific policies and taking actions directly inside the SaaS platform.
That can include:
- Automatically provisioning access after approval
- Assigning the appropriate license or access level
- Applying different policies based on the type of access requested
- Triggering additional workflow steps or notifications
Reftab can manage the request and approval process, but it does not currently provision the user directly inside the requested SaaS application.
For teams handling a high volume of software access requests, Torii's ability to automate the final provisioning step can reduce manual IT work.
Both platforms organize software similarly
Reftab and Torii both organize software around applications and licenses.
This means teams can:
- Maintain multiple license types under one application
- Track total software spend
- Assign application owners
- Categorize applications
- Track application status
- See assigned users
- Review usage and renewals
For many IT teams, the basic software inventory and license-management structure is more similar than different.
Where Torii goes deeper
During our testing, we found several areas where Torii's SaaS specialization provides additional functionality.
Application overlap
Torii can compare similar applications and show overlapping users, which can help identify consolidation opportunities.
Contract management
Torii provides deeper contract functionality, including contract owners, renewal workflows, and automated extraction of information from uploaded agreements.
Reftab tracks renewal dates, costs, notifications, and contract attachments, but does not currently offer the same contract-management depth.
AI management
Torii also offers a deeper dedicated AI management module.
Reftab currently supports Claude and OpenAI usage tracking and can include AI applications within the broader software inventory.
Additional SaaS integrations
Torii currently offers a larger catalog of direct SaaS and expense integrations.
This may be important for organizations that want a dedicated SaaS platform connected deeply across a large application stack.
Access reviews
Strong in both platforms
Both Reftab and Torii support structured software access reviews and exportable audit evidence.
Torii goes deeper into dedicated identity governance, while Reftab connects access reviews to the broader hardware, software, and employee lifecycle.
For many IT teams, that means access reviews can live alongside asset custody, onboarding, offboarding, software usage, and hardware recovery instead of becoming another isolated system.
Optimize IT spend, not just SaaS spend
Torii is very good at helping organizations find SaaS waste.
Reftab can identify many of the same everyday savings opportunities while also showing the rest of your IT spending.
Track:
- SaaS and software licenses
- Laptops and devices
- Equipment
- Maintenance
- Departments
- Locations
There is also a platform-level cost consideration.
If Reftab can satisfy both your hardware and software asset-management requirements, you may not need separate ITAM and SaaS management platforms.
Hardware is where Reftab is fundamentally different
Torii specializes in SaaS.
Reftab manages software and then keeps going.
Track:
- Laptops and desktops
- Phones and tablets
- Monitors and accessories
- Network and AV equipment
- Assignments and custody
- Barcode and QR scanning
- Physical audits
- Warranties
- Maintenance
- Requests and reservations
- Complete lifecycle history
This is the biggest distinction between the platforms.
If your IT team is already responsible for hardware and software, Reftab gives you the option to manage them together.
One lifecycle instead of two
Employee offboarding makes the benefit especially clear.
You may need to:
- Review application access
- Reclaim licenses
- Recover a laptop
- Recover monitors or accessories
- Update asset status
- Complete follow-up tasks
Those are not really separate hardware and software processes.
They are one employee lifecycle.
Keeping both sides in Reftab makes that process easier to manage and easier to audit.
Support SOC 2 and ISO processes
Reftab helps teams document common IT controls used to support programs such as SOC 2 and ISO 27001.
That includes:
- Asset inventory
- Software access reviews
- Asset custody
- Onboarding and offboarding
- Equipment recovery
- Physical audits
- Activity history
Reftab does not make an organization compliant by itself, but keeping hardware and software records together can make these controls easier to operate and document.
Our conclusion after testing Torii
Torii is deeper. Reftab is broader.
Torii is a strong choice when an organization specifically needs deep SaaS management.
Its strengths include direct SaaS actions, provisioning and deprovisioning for supported applications, sophisticated workflows, a dedicated application catalog, deeper contract management, and advanced SaaS optimization.
Reftab covers many of the software-management needs IT teams use every day:
- SaaS discovery
- Browser-based shadow IT discovery
- Users and licenses
- Usage
- Software surveys
- Renewals and spend
- Access reviews
- Requests and approvals
- Installed software
- CVE visibility
- Workflow automation
Then it adds complete hardware asset management.
For organizations that need deep SaaS provisioning and identity governance, Torii deserves serious consideration.
For organizations that need strong software management and hardware asset management, Reftab can provide a simpler and potentially more cost-effective approach by keeping both in one platform.

Frequently asked questions about Torii alternatives
Most teams comparing Reftab and Torii ask the same four questions. Here are the ones that actually matter.
Torii is a specialized SaaS management and identity-governance platform.
Reftab manages software as part of a broader IT asset management platform that also handles hardware, installed software, custody, audits, maintenance, requests, and the complete physical asset lifecycle.
Yes.
Both platforms can use license assignments and software usage to help identify potentially unused licenses. Also, both platforms can set usage thresholds as a way to find infrequent usage as well as non usage.
Yes.
Reftab tracks license quantities, assignments, usage, seat costs, and renewals, allowing teams to identify unused capacity and potential savings.
Yes.
Reftab provides an Application Renewals view with upcoming expiration dates and configurable renewal notifications.
Torii also provides a renewal calendar and can synchronize renewal dates into Google Calendar or Outlook.
No.
Torii has a large integration catalog, but the actions available vary by application.
Its own documentation describes 90+ integrations for seat-based license utilization but only 20+ direct integrations for automatic user provisioning, with provisioning explicitly limited by the APIs vendors make available.
Based on our testing, Torii is stronger in areas such as direct SaaS provisioning, deep workflow automation, application-access policies, contract management, application overlap analysis, SaaS-specific procurement, and advanced AI governance.
Organizations that need those capabilities extensively may benefit from a specialized SaaS management platform.
Reftab's biggest advantage is breadth across the IT environment.
Alongside software management, Reftab handles physical assets, custody, barcode scanning, audits, maintenance, warranties, installed software, CVEs, requests, reservations, and hardware lifecycle management.
Not currently inside third-party SaaS applications.
Reftab can use workflows, approvals, notifications, access reviews, and lifecycle processes to coordinate the work, but it does not currently perform direct account provisioning and deprovisioning inside connected SaaS applications.
Torii has the advantage here for applications where the underlying vendor API supports those actions.
Not currently.
As of July 2026, Torii's documentation states that rejected access must be removed manually from the underlying application and documented during remediation. Automated access-review revocation is planned for later.
Torii does support automated deprovisioning through other workflows for supported applications.
It depends on the problem the team is trying to solve.
If the primary requirement is deep SaaS provisioning, application governance, and automated access administration, Torii may justify the additional specialization and price tag.
If the team primarily needs software visibility, license optimization, renewals, access reviews, software discovery, automation, and hardware asset management, Reftab can consolidate those requirements into one platform.
