How to Setup Microsoft Teams Integrations

Reftab seamlessly integrates with Microsoft Teams, allowing you to send automated notifications directly to your team channels. Whether it’s an asset being checked out, a reservation update, or a custom alert, connecting Reftab to Microsoft Teams ensures your team stays informed and aligned—right where they’re already collaborating.

1. Head to Power Automate and select Templates.

2. Search for “Post to a channel when a webhook request is received” and select the first option.

3. Select the Teams tenant you want to connect to

4. Select a Team and a Channel that you want to send the notifications to

You are more than welcome to skip ahead to Step 9, however, your notifications will display “This was sent using a template.” Follow on from here to remove that text.

5. Click “Save As” at the top of this page

6. Give your flow a new name such as “Reftab Notifications”

7. Head back to your flows by clicking “My Flows” on the left

8. Find the original flow we created titled “Post to a channel when a webhook request is received”; Click the ellipses and select “Delete”

9. Head into the new flow we manually created “Reftab Notifications” and click “Turn On”

10. Click “Edit” in the top left corner

11. Now, click the first step in this flow and copy the webhook on the left

12. Head back into Reftab and head to Automated Workflows (Settings > Automated Workflows)

13. At the top right, select “New Workflow

14. Name your workflow and select a trigger (“Check Out Item”)

15. Under Actions, select Webhook then paste the webhook URL from Step 11.

16. After pasting, you will be prompted to select an Optional Format, select “Adaptive Card”

Workflow Triggers that Currently Support Teams Messages

By changing the workflow trigger in step 17, you will also receive notices for those actions in Reftab. The following triggers are currently supported:

  • Create New Asset
  • Update Existing Asset
  • Checkout Item
  • Create Reservation
  • Cancel Reservation
  • Return Item
  • Scan Asset Barcode
  • Start Asset Maintenance
  • Finish Asset Maintenance

(Advanced) How to send messages to multiple channels

Due to the nature of Reftab’s automated workflows, you are able to add an unlimited number of conditions. For example, if you wanted separate Temas channels to receive messages depending on the Location of a checkout, you can add a condition for the Location:

For each additional channel, you will want to create a new webhook URL. Keep in mind, all conditions of your workflow must be met in order to send the webhook. This means, for each location you want to send a message, you will need a new workflow. Be sure to follow Steps 15 to 19 when creating all new workflows.
